RentManager talks to Xero
Rent payments, expenses and tenant contacts flow straight into your Xero organisation. And if your bank feed already reaches Xero, RentManager reads the rent back out of it and matches it to your tenancies, so you are not recording payments by hand.
A note from Nick, who built this
I self-manage my own four rentals and I do not personally use Xero - my own accounting stays simple enough without it. I built this integration anyway, because most landlords with a few properties have an accountant, and the accountant lives in Xero. This is the handover I would want if I gave my books to someone else.
It reads your bank feed, so you do not have to
Most landlords who use Xero already have a bank feed running into it. RentManager can read the money-in side of that feed, pull each payment across, and match it to the right tenancy. Connect Xero once, choose the account your rent is paid into, and payments arrive on their own. No CSV exports, no retyping.
- It works today. This route needs no open banking accreditation, so it is not waiting on anything.
- We never write the rent back. The payment is already in your books from your own bank feed, so we read it and match it, rather than creating a second copy for you to reconcile against. Expenses and tenant contacts still flow the other way, because those are things Xero does not already have.
- Checked once a day, or on demand from your Xero settings page whenever you want to look now.
Rent that arrives outside that account still imports by CSV, exactly as before.
What flows into Xero
Rent payments become invoices
Every rent payment you match in RentManager is pushed to Xero as a paid sales invoice, against the right tenant and property.
Expenses become bills
Repairs, rates, insurance and the rest become bills in Xero, with the category kept intact for your IR3R.
Tenants become contacts
Add a tenant in RentManager and they appear as a Xero contact, so the invoices have somewhere to land.
It works both ways
When an invoice is marked paid in Xero, RentManager notices and records the payment. Supplier bills that arrive in your Xero inbox are matched back to your tradies and turned into expenses. You are not retyping numbers between two screens.
eInvoicing comes free with Xero
Over 50,000 NZ businesses are already sending Peppol e-invoices. When your tradie sends one to your connected Xero account, RentManager picks it up automatically and turns it into a matched expense against the right property.
- Your tradie's Peppol e-invoice lands in Xero, then flows into RentManager as a matched expense - no re-keying.
- Works with any tradie on Xero, MYOB, Reckon, MoneyWorks, or one of the free Peppol portals (Billit, B2Brouter, Olympic, Colladium, Pagero).
- You do nothing extra. Connect Xero once and the pipeline is live.

How it works
Connect once
Open Accounting, choose Xero, and sign in. You approve the connection on Xero's own screen - RentManager never sees your Xero password.
It syncs as you work
There is no sync button to remember. New payments and expenses reach Xero within seconds of you entering them.
Your accountant takes it from there
At tax time the rental income and expenses are already in Xero, coded and dated. No shoebox, no spreadsheet handover.
When the sync runs
RentManager pushes to Xero automatically at each of these moments:
- A bank payment is matched to a tenancy
- You record or match a rent payment by hand
- You add an expense
- You complete a maintenance job that has a cost
- You add a new tenant
The honest status
- The Xero integration is included on the Standard plan and every plan above it, so it covers self-managing landlords and small property managers alike.
- We are not on the Xero App Store yet. A marketplace listing carries a monthly fee that only makes sense once enough landlords are connected to cover it, so for now you connect from inside RentManager directly. The integration itself is live, secure, and built to the standard Xero expects.
- Residential rent is synced GST-free, which is how the IRD treats it.
- Reading rent back out of your Xero bank feed is the newest part of this integration and no customer is running it yet. If it is the reason you are here, say so and we will set it up with you and watch the first few weeks of matching together, rather than leaving you to discover the rough edges alone.
