Commercial Property Invoicing and Outgoings in NZ: A Worked Example

For a single-tenant commercial property, a manager can record base rent and agreed outgoings, review the monthly charge calculation, then prepare an invoice from the verified figures. Keep lease terms, tax treatment and any tenant apportionment under review before sending a real invoice.

RentManager's NZ PM Standard and higher plans include a single-let commercial workflow and manual PM invoicing. Xero sync is optional and configured separately.

Commercial property administration often joins several small jobs: keep the lease figures in one place, calculate the regular charge, check the outgoings, and prepare an invoice the tenant can understand. This worked example follows a simple single-let tenancy and shows where a property manager should pause to review the inputs.

RentManager's commercial property tools are available to NZ property managers on Standard and above. The workflow currently supports a single tenant per commercial property. It does not allocate shared costs across multiple tenancies or draft a lease.

What does a simple commercial lease need you to record?

Assume a small office has one tenant. The signed lease records annual base rent of $36,000 plus GST where applicable, and estimated annual outgoings of $6,000. The lease also specifies how the outgoings are handled, the review method, dates, and whether the manager or owner issues the invoice. These are example inputs only. The signed lease is the source of truth.

Record the tenant, property, annual rent and outgoings, lease dates, review terms, GST registration details and the invoice issuer. Check the entered values against the executed lease. A software record helps apply the terms consistently, but it does not replace the agreement.

How can you check a monthly charge before invoicing?

Using the example, base rent is $3,000 per month and estimated outgoings are $500 per month before any applicable GST. The manager reviews those components separately, confirms the lease's outgoings method, and checks the resulting total. If an administration fee is permitted by the agreement, verify its basis and rate before including it.

This is a review step, not an instruction to charge these amounts. Actual amounts, GST treatment, recoverability, and timing depend on the lease, the parties' GST status, and the relevant transaction. The manager should compare estimates with actual costs and follow the lease's reconciliation terms.

What should you verify about GST and invoice information?

Inland Revenue explains that commercial and residential property have different GST treatment, and the right treatment depends on the supply and circumstances. Since April 2023, GST rules use the term taxable supply information, although a document can still be called an invoice. Check the current requirements and the parties' registration details before issuing tax information. Inland Revenue: tax differences for commercial and residential property and Inland Revenue: taxable supply information.

Some land transactions can also be subject to compulsory zero-rating rules. Do not infer the GST rate from the word commercial alone. Ask a qualified tax adviser when the facts or lease treatment are uncertain. Inland Revenue: compulsory zero-rating of land.

How does the RentManager workflow support the review?

In RentManager, a PM Standard or higher account can create a commercial property record, capture its lease inputs, and inspect the calculated monthly charge and owner statement effects. The manager can then use the PM invoicing workflow to prepare an invoice manually, review its recipient, dates, line items and tax information, and issue it when ready.

Xero connection is optional. It is a separate accounting workflow and should be described as a sync integration only where the account has configured it. Preparing an invoice in RentManager does not automatically send every commercial charge to Xero.

What is outside this workflow today?

The commercial property workflow is intended for one tenant per property. It does not divide shared building costs among several suites, determine a tenant's legal liability, draft or interpret a lease, or provide tax advice. Keep source invoices and supporting records, document adjustments, and obtain professional advice for the lease and tax questions specific to the transaction.
